EGW-2 Submission Q&A

Here are some answers to questions people have asked about preparing and submitting manuscripts for MIJ-NSR. This page was written to specifically address questions from participants in the European Gallium Nitride Workshop, but most of the answers apply equally well for regular submissions.

Delaying Publication

Q: If I submit before the conference, will my paper be published reviewed immediately?

A: Papers will be sent to review as they come in, but even if they are accepted before EGW-2, they will be embargoed until June 9,1997.

Q: Since the review process can be very fast, I prefer to delay publication for a while. How do I keep the journal from publishing my paper too soon?

A: Yes, this was a real question!! If you need to delay the publication of your manuscript, delay filing you Copyright Transfer Agreement until you're ready for your paper's publication. You may get nasty notes from the journal computer, and perhaps a curious note from the Journalmaster, put your paper will not be made available until a Copyright Transfer Agreement is on file at MRS.

RTF Template

Q: The RTF template doesn't seem to have any place for the authors.

A: Oh yes it does! Some people have had difficulty downloading the template. The full template is a bit over 33kB in size; make sure you've downloaded it properly. If you have any problems obtaining a template, please contact Eric Hellman by e-mail at hellman@bell-labs.com or by phone at 1-908-582-6578. Netscape Q: How do I use Netscape 1.1 or higher to send MIME e-mail, whatever that is?

A: Here are some more detailed instructions: Using Netscape 1.1N .

  1. Choose "Mail Document" from the "File" Menu
  2. In the box for the text of your message, type
    "article number:" and your submission number
    "password:" and your paper's password
  3. In the line labeled "Mail To:" , type "mailer@nsr.mij.mrs.org"
  4. Click the "Attach..." button
  5. Click the "File:" radio button.
  6. Click the "Browse" button
  7. Find your manuscript file in the file dialog., and click "Open"
  8. Click the "Attach" button
  9. Click the "Send" button
Q: Can I use Netscape 2.0 or 3.0 to do an FTP upload?

A: Yes! Type this URL in the "Goto:" box: ftp://number:password@nsr.mij.mrs.org/incoming/number/ (replace password and number with your password and number.)Then choose the "Upload..." menu item from the "File" menu.

Formatting

Q: When referring to sections, is the syntax
  "see section Section[My GaN Stuff]"

correct if I want to produce the text
   "see section 5"

A: Use the syntax "see Section[My GaN Stuff]"

Q: For figures, the template states I should use exactly the same text that I used in the figure caption to define the figure when referring to the figure. If my figure caption reads:

"Figure 4.  Desorbed Ga flux ..."

Do I then refer to it in the article body with the text:
"In figure Figure 4. we see that ..."

or should I write:
"In Figure 4. we see that ..."  

A: The second way is correct.

Color

Q: Should I use color in my figures?

A: Reprints from MIJ-NSR will be full color. On the other hand, not everyone on the web has a color monitor and color printer (yet). You should use color whenever appropriate, but you should never rely completely on color. If you're plotting two lines, for example, make one line solid and blue, and the other dashed and red. That way, color adds makes the graph easier to read, but is not required. Gratuitous color is not a good idea. Keep your axes black and your backgrounds white.

Forms

Q: Do I have to fill out the "Intent to Submit Form"?

A: If you have received a submission number, this form has already been filled out.

Q: I need to make changes in the author list for my paper. What should I do?

A: Use the form at /info/reviseinfo.html You will need to provide your paper's submission number, and your paper's password.

Review

Q: How do I register to be a reviewer for MIJ-NSR?

A: Just register as a MIJ-NSR user, and fill out the areas you feel competant to review. If you've already registered, you can update the areas by clicking the "update" button on your Nitride Home Page.

Figures

Q. What resolution must I on my scanner set? (screen? 150? 300? 600? 1000?). I think it must be 2 copies. The first one for MIJ-NSR (with a screen resolution), and the second one for MRS proceeding publication (with maximum resolution).

A:Scan them so they look good on screen. If you have detail that needs 1000 scanning, you have too much detail. We are not planning to use high resolution scans for the print version. Bring the prints with you, just in case.

Q. In your RTF-template there are 2 picture with line drawing. I will trying to convert my plots (WMF) format to MS line drawing, in order to my figures will be fine on paper. The vector images provide higher quality than bitmap images, I guess.

A:On Windows computers, all pictures pasted into RTF documents are made into WMF files. If you wish to control the size of the pixelmaps for your figures, convert your figures to pixel images, and then paste them into your documents

Q. I want refer to recent result in nitride research. It supposes that I must include in reference box references like "to be published", "abstracts of Conference ...", "private communication", etc. I think these references cannot be included in MIJ-NSR database now. Must I avoid this references?

A:To be published references can be added using http://nsr.mij.mrs.org/refs/contribunpub.html This should only be used for works in press, etc. These can be updated after initial publication.

References in edited volumes, such as conference proceedings, can be entered using the form at http://nsr.mij.mrs.org/refs/contriproc.html If the proceedings is published in a journal, just use a journal-style reference.

References in books can be entered using the form at http://nsr.mij.mrs.org/refs/contribook.html

For anything else, just type it out at the end of the paper as you normally would. Q. Can I refer to some MIJ-NSR or other WWW pages? (For example MIJ-NSR discussion, news and archives.) I can insert in my paper this references with HTML tags. However I don't know what format I must use for conventional publication.

A:You may refer to MIJ-NSR as you would any other journal. For example: [1] hellman-mijnsr-1-1
Other WWW pages are typically unsuitable for references, because they break. You should not insert references with html tags.

Special Characters

Q. Can I use special characters in text such as "nonbreaking space", "nonbreaking hyphen"? The last one is very important because of is many program take sign "minus" as hyphen.

A:If your word processor has a non-breaking space or non-breaking hyphen, just use it. RTF captures them. The HTML non-breaking space is not supported by all browsers, so we don't use it yet, but it is part of the Journal's source format. Q. How about overstrike 1, like in crystallographic planes?

A:Either use a pasted image, or use ;;onebar;
